CRM system for copywriters KNP

AVADA MEDIA implemented a project for the KNP startup, which creates custom text content. We developed a custom CRM system, adapted to the specifics of the copywriting business, which simplified order management, and automated and standardized communication and business processes.

Our approach

When starting work on the project, the first thing our team did was develop the architecture of the CRM system, segment the user base and define roles with the corresponding access rights:

  • Administrators - full control and access to all processes.
  • Clients - communication with the manager, tracking orders and their fulfillment.
  • Managers - coordination of orders, interaction with clients and copywriters.
  • Copywriters - fulfilling orders with the ability to choose projects by deadlines and payment.

This made it possible to establish transparent order management: when a client’s request is received, it is automatically processed in the CRM, assigned to a manager and monitored by the administrator.

Optimization of communications

One of our main tasks was to improve communication between the company's managers and clients. To solve it, we integrated a chat that allows managers to conduct centralized correspondence with all clients directly from the CRM interface. All messages are automatically duplicated to the client's email, which ensures transparency and timely information about the progress of the project.

CRM allows managers to simultaneously communicate with both the client and the content authors — in separate chats. This significantly simplifies the workflow and prevents errors. This approach helped us isolate communication channels, which made the process of working with customers and copywriters more streamlined and efficient.

Business Process Automation

To improve work efficiency and reduce the operational load on managers, we have integrated modern capabilities into the CRM:

  • Plagiarism check. Automatic check of text uniqueness in real time. Based on its results, the text is immediately sent to the customer by email or returned to the contractor for work.
  • Order exchange. Content authors can select orders in the CRM interface, taking into account their deadlines and cost. This accelerated the distribution of tasks and allowed copywriters to independently distribute their workload.
  • Notifications. The system sends instant notifications to clients and authors at key stages of order fulfillment.

Control and analytics tools

For administrators, we have implemented a logging system that records all user actions in the CRM and provides full control over processes within the company.

In practice, this enables the management of the KNP startup to track the activity and performance of employees, control the work of managers and analyze key business performance indicators.

Integration with external channels

To automate the collection and processing of incoming leads, we integrated the CRM system with external traffic sources through customizable web forms.

Thus, applications are immediately sent to the CRM, where the system automatically distributes them between managers for further work. This process not only minimizes manual data entry, but also guarantees a quick response to new client requests, which is especially important for the successful development of a startup.

Result

The AVADA MEDIA team developed a customized CRM for the KNP startup, which optimized the company's resources and simplified the work of managers. The new system formed a single algorithm for interaction between customers, authors and managers, ensured reliable control over the execution of tasks and automated routine operations.
